BELA Charter School

Brooklyn Emerging Leaders Academy Charter School (BELA), a new all-girls high school located in Bedford Stuyvesant, Brooklyn, focused on SISTERHOOD, SCHOLARSHIP, STRENGTH and SERVICE is deeply committed to a 100% of our students completing college. Founded on the belief that academic and life preparation is equally as important; each BELA young woman will embark on her own personal and intellectual journey. The Role

The Operations Coordinator ensures the school office effectively serves and supports students, parents, school staff, and the Bedford Stuyvesant community. Reporting to the to the Dean of Operations, this role is responsible for overall school operations including receptions oversight, inventory control, and facilities management. 

The position is a full-time.

Teachers and Staff members at BELA will:

  • Create inspiring, challenging, and effective teaching learning experiences for all of our students

  • Collaborate with fellow teachers, students and school leadership to build the school from the ground up

  • Share in the leadership of the school by taking on essential roles in addition to teaching

  • Be committed to serving all students, including Students with Disabilities and English Language Learners, in the context of the regular education classroom using a variety of inclusion models

  • Become part of a strong and supportive professional learning community

  • Enjoy and thrive in the lively and diverse world of urban adolescent young women while striving to create a model of public education that serves them well. 

  • Design, facilitate and participate in experiences and conversations that relate to race, gender, class, and sexual identity in ways that empower students and foster community
     

Primary Responsibilities:

Attendance

  • Ensures the accuracy of students’ daily attendance, as well as tardy, and early leave logs

  • Works with the Student Life Time to ensure attendance is completed timely and accurately each day

  • Supports the goal of achieving a high Average Daily Attendance by communicating expectations of attendance to families, managing chronic lateness and absent letters and communication to Dean of Operations, and supporting on attendance related incentives and activities. 

Student Information & Data

  • Maintains and updates student profiles in BELA’s school information system

  • Maintains student records in accordance with federal and school-based policies, as well as audit guidelines

  • Updates ATS with incoming student enrollment

  • Monitors records verification of incoming students, prepares withdrawal forms for transferring students

  • Ensures confidentiality and security of office space, files, and all information pertaining to students, parents, staff, and community

  • Immunization and Medical records

Student and Family Relations

  • Welcomes and attends school guests, prospective and current families

  • Upholds and maintains a positive, nurturing, achievement-oriented school culture

  • Builds relationships with families, in partnership with Dean of Advancement to keep them well-informed and support their needs

  • Attends to student health needs and injuries

  • Seeks and implements feedback from stakeholders (parents, peers, manager, etc.) and offers feedback in an honest, respectful and timely way

  • Occasionally participates in evening family events (including but not limited to, Student Led Conferences, Summer Programs,

  • Manages the Student Youth Employment Program application process

Office Operations

  • Organizes, secures, and maintains a pristine office space and environment

  • Directs phone calls and guests warmly and professionally

  • Types, translates, and distributes school correspondence

  • Assists with coordinating travel arrangements, field trips, and other student and school-wide events

  • Assists in ordering, purchasing, receiving, and organizing materials

  • Supports all school-based communication systems

  • Maintains the snacks and supplies in the Welcome Center

  • Distributes all incoming mail

Student Recruitment

  • Supports annual new student recruitment, lottery, and enrollment processes with the Dean of Advancement

Qualifications

  • High school diploma required; some college credits preferred

  • Bilingual and able to read, write and speak Spanish proficiently

  • Prior school and/or administrative experience preferred

  • Excellent communication skills, both oral and written

  • Excellent organizational, planning and implementation skills

  • Ability to establish relationships and communicate effectively with multiple stakeholders;

  • Strong working knowledge of Automate the Schools (ATS) system

  • Strong working knowledge of Microsoft Excel and Word; Experience with Google Apps a plus

  • Experience with managing and entering data with at least 95% accuracy; familiarity with data management systems a plus

  • 1-2 years of office management, administrative, or executive assistant experience

  • Energetic and flexible professional who doesn't mind wearing multiple hats

  • Able to work independently with little or no supervision

  • Excellent time management skills and ability to multi-task and prioritize work

  • Impeccable attention to detail and problem-solving skills

  • Demonstrated ability to make decisions thoughtfully and work well under pressure
